Our client a recognized professional association within Toronto's business world is looking to hire an Administrative Assistant for a 7-months Maternity Leave coverage. This position will be working remotely with an immediate start. Position Summary: The Administrative Assistant, Public Affairs and Marketing will be responsible for providing administrative support to the Vice-President, Public Affairs and Marketing and to the various business areas within the Public Affairs and Marketing department. Business areas include: Government Relations, Public Relations, Marketing & Communications, Member Engagement (Sales) Responsibilities: Produce and distribute correspondence memos, letters, reports and presentations Coordinate the printing, posting and distribution of business communications. Verify expiry dates and maintain adequate stock. Organize and schedule meetings and events Coordinate travel arrangements and hotel accommodations Prepare, reconcile and submit expense reports Maintain up-to-date budget control report for departmental expenditures Develop and maintain an electronic and manual filing system Manage e-mails and voicemails as required Maintain contact lists Respond to, or re-direct inquiries from members and non-members, including government and media Coordinate the purchase and distribution of promotional material. Verify costs and maintain adequate stock. Coordinate the development of government relations marketing materials, newsletters and political promotional material and maintain adequate stock Provide administrative support to Government Relations Committee and Provincial Advocacy Committee (PAC) members across Canada. This includes updating and maintaining the PAC database, acting as a recording secretary for the nine PAC committees and the National Government Relations Committee, organizing Legislature Days and PAC meetings, as well as support grassroots lobbying efforts. Maintain contact and subscription lists Respond to, or re-direct inquiries from members and non-members, including government and media. Skills/Knowledge Required: Proven administration or assistant experience Strong communication skills both written and verbal Excellent organizational and interpersonal skills Excellent attention to detail Proactive, enthusiastic, self-starter Proficient in the use of Microsoft Office (specifically Word, Excel and PowerPoint) Strong technical research and analytical skills Sound judgment, tact, discretion, diplomacy and professionalism Ability to manage competing priorities Thank you for your interest in this opportunity.
