Title: Office Manager Executive Administrator This is a salary position and is negotiable dependant on qualifications and experience. Position Summary: The qualifying candidate must have a love for working with the elderly and have a understanding of seniors care and lifestyle. The Office Manager shall be responsible and accountable for the planning, organizing, leading, directing and evaluating the business office and reception services of the community. Participates within the Management Team in the day to day operations. The Office Coordinator plays a major role in the marketing of The Landing and Harmony Court through the management of the business office, reception, and Tenancy Agreements. Is responsible and accountable for the day to day management of the business office operations to include accounts receivables, accounts payables, and payroll systems. Shall be responsible for ensuring reception duties and front desk activities, including night shifts, are maintained utilizing a hospitality customer approach. Shall be responsible for the management of The Landing and Harmony Court correspondence and reports as assigned. Responsible to: General Manager Qualifications: · Excellent public relation skills in reception, hospitality and customer service. · Minimum of Grade 12 or equivalent. · Graduate from a recognized school of business with knowledge of automated office systems required. · Knowledge in Human Resources, Payroll and Union Contract Management · Computer literate in Microsoft Office Suite and related programs · Managerial experience in the direction of office operations and supervision · Ability to operate and maintain a variety of business machines. · Basic banking skills and electronic funds transfer. · Knowledge of Telephone Systems · Ability to handle basic bookkeeping to include payables, receivables, inventory, monthly reporting and archives. · Effective written and verbal skills in the English language Key Competencies: · Ability to deal with office business and its stakeholders with honesty and integrity. · Ability to listen and focus on the needs of the Tenant, their family or significant others visitors to The Landing and Harmony Court. · Ability to flex and work effectively within the office setting. · Ability to act quickly and calmly in urgent or crisis situations. · Ability to commit to the company’s Mission, Philosophy, Management Beliefs and Commitment to Tenants. · Ability to manage customer issues, concerns and complaints with self–control, empathy and in a candid manner. · Ability to maintain order in the workspace, handling, preparing and filing information; compiling and maintaining data bases. Maintenance of inventory and archives. Duties and Responsibilities: 1. Quality Service: · Functions within Riverwood Square’s Mission, Vision and Values, and demonstrates a high regard for the organization’s Philosophy and Tenant Commitment to delivering exceptional standards of hospitality service. · Ensures Tenants, visitors and persons doing business with The Landing and Harmony Court are greeted with hospitality and warmth, recognizing the Business Office is frequently the first contact people experience with The Landing and Harmony Court. · Actively participates in activities related to Total Quality Management. · Manages all office functions and systems to include the planning, organizing, leading, directing and evaluating the workflow and office operations making changes as authorized. · Maintains internal records and prepares internal reports as requested and/or required. · Ensures current Tenant databases. · Backs up the computer(s) as per policy and procedures. · Maintains an effective and efficient filing system. · Maintains confidentiality of all financial, personnel and Tenant information. · Contacts the appropriate person for assistance as required. · Assist in maintaining updated policy and procedure manuals as directed. 2. Social Environment: · Maintains the reception and office areas in an uncluttered welcoming manner. · Ensure that documents and report requests for maintenance are distributed to the appropriate source. · Ensures adequate office supplies are available for efficient and effective business operations within the approved budget objectives. · Inventories and monitors use of supplies. · Co-ordinates the maintenance of building inventory and warranty documents. 2. Human Resources: · Responsible for the hiring, training, delegating duties and evaluating the receptionist and Shift Administration. · Prepares all personnel information of new employees for the payroll system. Orients new employees to payroll forms and information. 3. Financial Management: · Forwards all accounts payable invoices to Head Office for payment. Maintains copies at the facility as directed. · Maintains records of vacancy and resulting lost revenue days. Prepares a monthly report. · Prepares bank deposits and accompanying documentation. Reconciles bank statements with facility records. Makes bank deposits. · Maintains and is accountable for inventory and distribution of office supplies. · Has access to financial records and assists with budget. 5. Community Relations: · Participates in the marketing of The Landing and Harmony Court by greeting visitors and persons doing business at the facility with warm hospitality. · Greets and meets all persons with warmth, dignity and respect as they visit the facility announced or unannounced. · Assist with tours for The Landing and Harmony Court when required. · Distributes information packages to perspective Tenants. 6. Safety and Health: · Ensures the Management of all telephone communication in the event of an internal or external emergency situation. · Maintains copies and written responses of all government inspections in conjunction with the General Manager. · Maintains a healthy life style so that regular attendance at work is possible. 7. Continuing Education: · Assumes personal responsibility for maintaining current knowledge of theory, practice and trends in the field of expertise. · Shares current theory, practice and trends with peers upon return from a seminar or course to assist in ensuring the facility remains current and maintains its market share. 8. Other Duties: · Other related duties as assigned.
